Introduction

Welcome to UConn’s Enrichment Programs. Your employment experience is important to us. The following information serves to assist in the hiring and onboarding process and is designed to help you quickly find answers to common questions regarding your employment. Please review this information thoroughly and refer to this page if you have any general questions during your employment. Of course, if you are not able to find an answer to your question here, you can always email Anabel Perez Malone, for additional information.

Important Information

Once you are hired, you will receive an email from your direct supervisor with initial information about your position. Program staff will follow up with you about the official hiring process. At that point, the action items below will be important to finalize your hire and prepare for your start.

Action Items:

  1. If you have worked at UConn before or if you will have a concurrent position, you must email Anabel Perez Malone, and she will follow up with you re: next steps. Please indicate when and where you last worked at UConn, what the concurrent position will be (if applicable), and when you completed the Federal Form I-9.
  2. If you are a new employee to UConn, complete the Federal I-9 Form.
  3. If you are a new employee to UConn or an existing employee and would like to make changes to your existing information, please complete the Federal and CT W-4s and/or Direct Deposit forms.

Federal Form I-9

What is the Federal Form I-9?

The U.S. Citizenship and Immigration Services requires the completion of the Form I-9, to establish that an employee is eligible to work in the U.S. The Form I-9 is also used to verify an individual's identity by requiring the individual to provide the employer with acceptable documentation as evidence of identity and employment authorization.

How to Submit the Form I-9 to UConn Enrichment Programs

For New UConn Employees: UConn uses HireRight to complete the submission of NEW Federal Form I-9s.

  • Anabel Perez Malone will add your name to the HireRight system and you will receive a system-generated email directing you to complete Section 1 of the I-9.
  • Through HireRight, upload evidence of your identity and employment authorization. Visit this U.S. Citizenship and Immigration Services page for more information about acceptable documents. Please be sure to use only those documents to which you have ready physical access as you will need to present the documents in person later in this process. If you have questions about your combination of documents, please email Anabel Perez Malone.
  • Once you upload your documents and complete Section 1, submit your form via HireRight and it will direct to Anabel Perez Malone.
  • Anabel Perez Malone will email you to schedule a time for review of your ORIGINAL identification documents. Students will not be able to begin work in their new position until after this in-person meeting.
  • Once reviewed, Anabel Perez Malone will complete Section 2 of the I-9 form.
  • HireRight will route completed form to UConn Payroll.

    For Students with Previous or Concurrent UConn positions: UConn uses SharePoint for submission of Federal Form I-9 Reverifications.

    • If you have worked at UConn before or will have a concurrent position, email Anabel Perez Malone with the following information:
      • Previous position department
      • Date of I-9 completion
      • Concurrent position department, if applicable.
        • If you will have a concurrent position, indicate if you already completed a I-9 with the other department.
    • Depending on the information above, Anabel Perez Malone will either complete a I-9 Reverification or you will be required to complete a New I-9.

    After completing these steps, you will receive a message from your direct supervisor indicating that you may begin working. If you have any questions throughout the process, please email Anabel Perez Malone.

    Federal W-4 and CT-W4 Forms

    What are the W-4 forms?

    The W-4 Forms are federal and state IRS forms that you complete to let your employer know how much money to withhold from your paycheck for federal and state taxes. How you complete your W-4 form can significantly affect whether someone gets a refund or owes taxes when they file their tax return.

    Do I have to submit W-4 forms?

    Although you are not required to submit Federal or CT W-4s, failure to submit these forms will require that UConn Payroll tax you at the highest taxable category.

    If you submitted W-4 forms to UConn in the past as part of a different position, Payroll will utilize the same W-4 forms.

    Enter your personal information. Fill in your name, address, Social Security number, and tax-filing status.

    Your tax-filing status is the basis for certain tax credits and deductions, and there are rules about which ones you can use. Click here for more information about choosing the correct tax-filing status. If you are a dependent on someone else's tax returns, you are strongly encouraged to review this information with them.

    How to Submit W-4s to UConn Payroll

    • Print, sign, and date your W-4s.
    • Scan and save the completed, signed W-4 forms as PDF files.
    • Upload the PDF to this secure link.

    Direct Deposit of Paychecks

    All employees are strongly encouraged to set up Direct Deposit, as it ensures timely and reliable payments that are accessible earlier than the funds from checks. There is no cost to employees who elect to be paid via direct deposit. Please note that Direct Deposit in Core-CT is different than direct deposit with the Registrar.     Although many financial institutions have their own direct deposit forms, you must complete a UConn Direct Deposit Authorization Agreement.

    Complete all required fields on the Agreement. For “TYPE OF ACTION,” new Student Employees should select “New Account.”

    Confirm that the account and routing numbers provided are correct.

    How to Submit the Direct Deposit Authorization Agreement to UConn Payroll

    Payroll and Your Paycheck

    You will report your work time via Core-CT. Your timecards will be due every two weeks. The State of Connecticut’s Payroll Calendar can be found online.

    What is Core-CT?

    Core-CT is the Connecticut state government's human resources, payroll, and financial system. This is where you will access your payroll information and enter your hours worked into your timecard.

    How do I access Core-CT?

    • Go to ess.uconn.edu.
    • To access your timesheet, click Core-CT Login and follow the instructions on the Core-CT Modernization Project page: https://ess.uconn.edu/core-ct-modernization-project/.
    • Enter your NetID and NetID password.
    • Verify these credentials with a push, call, or passcode on your secondary device via Duo Two-Factor Authentication (2FA). If you have not enrolled in 2FA, you will be prompted to add a device to your NetID account. Problems with Duo should be referred to the ITS Help Desk.

    How do I enter my hours worked in Core-CT?

    • Follow the instructions listed on the Core-CT Modernization Project page to get to your timecard: https://ess.uconn.edu/core-ct-modernization-project/.
    • On the Timesheet page, your timesheet for the pay period is blank, and you must fill in the fields.
    • Enter the hours of regular (REG) time worked for each day. Enter REG in the Time Reporting Code field.
    • All time worked should be reported in quarter-hour increments (0.25, 0.5, 0.75, etc.) to the nearest quarter-hour. Examples: if you work 1 hour and 30 minutes, you report 1.50 (one hour and thirty minutes); if you work 1 hour and 40 minutes, you report 1.75 (one hour and forty-five minutes); if you work 1 hour and 50 minutes, you still report 1.75 (one hour and forty-five minutes). Please email Anabel Perez Malone with questions about time reporting.
    • Confirm all the hours entered are correct by reviewing the "Summary."
    • Click the “Submit” button.
    • Look in the upper right-hand corner of the screen to see the message indicating your changes have been “saved.”

    The UConn/Core-CT Job Aid

    The UConn/Core-CT Job Aid: Entering Time: Student Employees is a helpful pictorial tool to walk you through the process of submitting regular hours and addresses time reporting exceptions like sick time. Questions about time reporting should be addressed to your direct supervisor or you can email Anabel Perez Malone.

    When and how do I get paid?

    • There is a 1-pay period delay on all payments, regardless of whether you have chosen to receive a live check or direct deposit.
    • Checks are mailed out the Friday of the pay week to the address in your Core-CT profile.
    • Payment dates are listed in bolded boxes on the State of Connecticut’s Payroll Calendar.
    • It is your responsibility to make a note of the Pay Period End Dates (noted in gray on the Payroll Calendar) on your personal calendar (Google Calendar, Apple iPhone Calendar, etc.) because timecards must be submitted by 8pm on Thursdays of the pay week. E.g., 2023 Example: you must submit your timecard by 8pm on Thursday, Oct. 5, 2023 (for the period worked Sept. 22 to Oct. 5) to be paid for that work on Thursday, Oct 20, 2023.

    Please note, it may take several pay cycles for direct deposit to go into effect; live checks will be mailed to your Core-CT address in the interim. Students who have set up Direct Deposit can expect checks to be deposited by Thursday of pay week.

    Troubleshooting and FAQs

    I can’t log in to Core-CT.

    I can’t log in to Core-CT.

    Are you trying to log in prior to the start of your appointment period?
    You will only be able to log in to Core-CT during your appointment period. For example, students with work study appointments in 2024-25 have appointment dates of 8/23/24-5/9/25.

    Are you trying to log in between 8pm and 4am?
    Core-CT is offline every night from 8pm to 4am. You cannot log in during this time.

    Is it Thursday of a non-pay week?
    Core-CT is offline all day every other Thursday (non-pay Thursdays). See the Payroll Calendar above for dates for the current calendar year.

    Clear your browser cache.

    Still having a problem?
    Make sure your NetID is synched across all UConn authentication apps. You can check that by visiting UConn's ITS website. If something is out of sync, reach out to the ITS Help Desk to change your password.

    I forgot to submit my timecard by the Thursday, 8pm deadline. What do I do?

    • Log in to Core-CT, go to Timesheet, and then click on "Previous Period” to navigate to the correct pay period for the time worked.
    • Enter hours worked in the Previous Period per the instructions above and submit your hours.
    • Those hours will be approved at the end of the current pay cycle and paid to you in the following pay period.
    • Do NOT enter hours worked on an incorrect timecard as this constitutes fraud. Please navigate to the correct pay period and enter time on the correct dates, even if it means a delay in payment.

    Where is my check/payment?

    Remember that UConn Payroll works on a one-pay-period delay, so the hours you report on a timecard end date are paid out in the following pay cycle. For example, if you submitted your timecard on time for pay period ending 9/7/23, those hours will be paid out 9/21/23. (Please also see “When and how do I get paid?” in the section above.)

    Live checks are mailed to the address you have listed in your Core CT record on the Friday of pay week, so make sure that address is up to date.

    If you signed up for direct deposit, please note that it may take a few cycles for the direct deposit to be activated. In order to confirm bank accounts entered are active, UConn Payroll processes a 1 cent deposit to your account on pay day. Note that you will receive a live check that pay period. Assuming there are no problems with the direct deposit, your next paycheck will be paid via direct deposit in full.
